Basic functions

Discover some of the functions of GearBase.

Activities

Group your gear into different activities. "Activities" can reallybe anything you want to have as a category. 

Gear lists

Under each Activity you document all associated gear.

It is possible to document individual gear as well as sets of gear.

GearBase can keep track of End-of-Life and Inspections. If you choose to do so, the statuses are indicated by bars and symbols.

Gear details

In the Detail page you see all information you have added, including a Lifespan timeline and inspection information if those features are used.

If you klick on the image it will show the whole image.

Configuration

Adapt the application by adding your own Activities, Categories, Brands.
You can even create your own data fields if something is missing.

End of life

Keep track of the lifespan of your gear.

Use the built in functions to keep track of your gear'sEnd-of-Life by entering the Manufacturing Year, and Month is known.

If you want to you can assign a Custom End-of-life date that you choose.

The End-of-life is then calculated based on the Lifespan value you have defined for that category of gear.

In the Detail view you see both the calculated End-of-Life and your custom End-of-life.

In the gear list the calculated EoL and the Custom EoL are shown as graphics, i.e. gradient bars.

Inspections

Keep track of the state of your critical equipment.

You can use the app to register inspections of critical equipment. Give a Condition rating, Notes and Next inspection date.

The history of isnpections are shown on the gear detail card.

If a Next inspection date has been given, the blue icon indicates that the date has passed.

Inspection tool

There is a tool for simplyfing inspection work.

The dots indicates End of Life and Inspection status and the list can be filtered by them.

You can select one or more gears and either add inspection details to them or update the Next inspecion date.

All selected equipment will get the same inspection values.

GEAR BY CATEGORY

If you have the same type of equipment in different Activities, i.e. Climbing backpacks and hiking backpacks, and want to list them all toghether the tool Gear by catregory can be used.

GEAR BY CATEGORY

The list can be grouped and sorted like the normal gear list, with the addition of Activity.

RETIRED GEAR

All retired gear can be accessed by the tool Retired gear. If something has been wrongfully retired or you want to reinstate it you can restore it here. After restoring a gear it will be visible in the normal gear list again.


Import & export

The app includes several tools to import and export data.

Import brands & categories

To get you started quicker.

To get you started you can import lists with brands and categories.

The app includes predefined list with climbing and general outdoor brands and categories.

You can also create your own lists of brands and categories in form of .csv files and import those.


Import equipment

If you have equipment in Excel files or other software and can save it as a comma separated file (.csv) then you can import it to a selected Activity.
Below is an example of how a .csv file might look.

Select your .csv file and the Activity you want to import the gear to.

Map the GearBase fileds to the appropriate columns in the file.

If you don't assign a column to Brand the import will look for a brand name in the column mapped to Name field.

For example "Wild Country Friend 0.1" will be split into:
Brand: Wild Country
Name: Friend 0.1
if Wild Country exists as a brand in GearBasse.

You will get a preview before importing.


Backup & restore

GearBase has a couple of ways to backup and restore your data.

Cloud backup

If you log in to your Google account GearBase will back up your database and images when changes have been made. Note! No personal information will be shared with anyone. The data is saved on a hidden area of Google Drive where only the application has access.

The phone's system decides when it is suitable to perform the backup after changes have been made, therefore there is also an option to manually trigger a backup.

Local backup

If you don't want to store your backups in the cloud you can also create a local backupo, where the database and images are saved to a compressed file (.zip) and saved on the phone, or wherever you select to save it.
This is also the only way to access the images connected to the equipment.

Restore

You can restore the GearBase data by either of the backup methods.

Denna sekretesspolicy förklarar hur GearBase hanterar din information.

1. Data som lagras lokalt på din enhet

All information du matar in om din utrustning – inklusive namn, beskrivningar, inspektionshistorik, bilder och anpassade attribut – lagras endast lokalt på din enhet i en privat databas. Denna information lämnar aldrig din enhet om du inte själv väljer att skapa en säkerhetskopia.

2. Data som hanteras vid inloggning och moln-backup (Google Drive)

Appen erbjuder en valfri funktion för att logga in med Google i syfte att skapa säkerhetskopior.

  • Google-kontoinformation: När du loggar in samlar appen in din e-postadress och ditt namn från Google för att identifiera dig.

  • Säkerhetskopior: Om du skapar en moln-backup, laddas en backup-fil (som innehåller din databas och dina bilder) upp till ett privat, dolt utrymme på din egen Google Drive. Denna fil är endast tillgänglig för appen GearBase och syns inte bland dina vanliga Drive-filer.

3. Datadelning

Utvecklaren av GearBase har ingen tillgång till din utrustningsdata eller dina säkerhetskopior. Din data delas inte med någon tredje part.

4. Radera din data

Du har full kontroll över din data och kan radera den på olika nivåer:

  • Radera enskilda objekt: Du kan när som helst radera specifika utrustningsdelar, bilder eller kategorier direkt inuti appen.

  • Radera all lokal data: All data på enheten raderas permanent när du avinstallerar appen.

  • Radera moln-backup: Raderas permanent om du går till dina Google-kontoinställningar -> "Säkerhet" -> "Anslutningar till tredjepartsappar" och kopplar bort GearBase.

Privacy Policy for GearBase

This privacy policy explains how GearBase handles your information.

1. Data Stored Locally On Your Device

All information you enter about your gear—including names, descriptions, inspection history, images, and custom attributes—is stored only locally on your device in a private database. This information never leaves your device unless you actively choose to create a backup.

2. Data Handled During Sign-In and Cloud Backup (Google Drive)

The app offers an optional feature to sign in with Google for the purpose of creating backups.

  • Google Account Information: When you sign in, the app collects your email address and name from Google to identify you.

  • Backups: If you create a cloud backup, a backup file (containing your database and your images) is uploaded to a private, hidden space on your own Google Drive. This file is accessible only to the GearBase app and is not visible in your regular Drive files.

3. Data Sharing

The developer of GearBase has no access to your gear data or your backups. Your data is not shared with any third party.

4. Deleting Your Data

You have full control over your data and can delete it at different levels:

  • Delete individual items: You can delete specific gear items, images, or categories directly within the app at any time.

  • Delete all local data: All data on the device is permanently deleted when you uninstall the app.

  • Delete cloud backup: Is permanently deleted if you go to your Google Account settings -> "Security" -> "Third-party apps with account access" and disconnect GearBase.
